Poly Sync 40 Series Bluetooth Speakerphone

Initial Setup
The speakerphone is in deep sleep mode when shipped to conserve battery. To wake it up, connect the USB cable to a power source before first use. The LED panel will illuminate.
- Connect the speakerphone USB cable to a power source (e.g., computer or wall adapter).
- Connect the speakerphone and pair it to receive calls or stream media.
Controls
The portable speakerphone supports both wired and wireless connections. The controls include:
- Bluetooth Pairing ?
- Microsoft Teams Button (for Teams-enabled models) ?
- Volume Down ?
- Mute/Unmute Microphone ?
- Volume Up ?
- Call Button ?
- Voice Assistant (Siri, Google Assistant) ?️

LED Indicators
The LED panel provides status information:
- Solid Blue (alternating pattern): Pairing mode
- Solid Blue: Pairing successful (connected)
- Flashing Green: Incoming call
- Solid Green: During a call
- Solid Red: Microphone muted
- Solid White (alternating pattern): Connection mode (daisy-chain audio)
- Flashing White (twice): Connection successful
Note: LEDs do not illuminate in standby mode.
Microsoft Teams Indicators:
- Flashing Red and Blue: Pairing
- Solid Purple: Microsoft Teams connection established
- Flashing Blue: Incoming call
- Solid Red: Microphone muted
- Flashing Purple: Microsoft Teams notification
Note: Requires the Microsoft Teams desktop application.
USB Bluetooth Adapter
The included USB Bluetooth adapter provides high-definition Bluetooth connectivity. Plug it into your computer for high-definition audio. The adapter may vary in appearance but functions the same.
Note: USB connection and adapter design may differ, but functionality remains the same.
Installation
Wired Mode
Connect the speakerphone's USB cable to a USB port on your computer. The speakerphone powers on automatically without needing to press the power button.
Mobile Device Setup
- When the speakerphone is on, press and hold the Bluetooth button for 2 seconds to enter pairing mode. The LED indicator will flash blue in an alternating pattern.
- Turn on Bluetooth on your mobile device and search for new devices. Select "Poly Sync 40".
- Upon successful pairing, you will hear "pairing successful" and the LED indicator will turn solid blue.
Secure Pairing (Mobile Device)
Secure pairing enhances Bluetooth call security. When active, the paired device disconnects after each call to prevent accidental audio playback from your phone. This feature can be managed in the Poly Lens app.
Note: Activating secure pairing disconnects previously paired devices.
- With the speakerphone on and secure pairing enabled in the Poly Lens app, press and hold the Bluetooth button for 2 seconds to enter pairing mode.
- Turn on Bluetooth on your device and search for new devices. Select "Poly Sync 40".
- Upon successful pairing, you will hear "pairing successful" and the LED indicator will turn solid blue.
- Make or receive a call, or play music via Bluetooth.
- To maintain the connection after a call, press any button within 30 seconds. Otherwise, the connection will terminate, and the Bluetooth button will stop illuminating.
USB Adapter Setup (Adapter Models Only)
The USB Bluetooth adapter comes pre-paired with the speakerphone. Connect it to your computer.
- Connect the USB Bluetooth adapter to your computer. The adapter's LED will flash and then turn solid, indicating a successful connection with the speakerphone. You will hear "PC connected". During a call, the adapter's LED flashes blue; otherwise, it remains solid.
- Download the Poly Lens app from poly.com/lens for advanced settings and customization.
Windows Setup:
- To set the USB Bluetooth adapter for music playback, go to Start > Control Panel > Sound > Playback tab. Set "Poly BT700" or "Plantronics BT600" as the default device and click OK.
- To pause music during calls, go to Start > Control Panel > Sound > Communications tab and select the desired setting.
Mac Setup:
- To configure the USB Bluetooth adapter, go to Apple menu > System Preferences > Sound. On the Input and Output tabs, select "Poly BT700" or "Plantronics BT600".
Re-pairing with USB Adapter
If the USB adapter is disconnected or paired with a different device, re-pairing is necessary. This requires the Poly Lens desktop application.
Re-pairing with BT700 USB Adapter:
- Connect the BT700 USB adapter to your computer.
- Put the Poly audio device into pairing mode.
- Launch Poly Lens and navigate to the BT700.
- Put the USB Bluetooth adapter into pairing mode by selecting "Pair with new device" on the adapter's homepage or dropdown menu. The adapter's LEDs will flash red and blue.
- Upon successful pairing, you will hear "pairing successful" and "PC connected", and the adapter's LED will turn solid.
Re-pairing with BT600 USB Adapter:
- Connect the BT600 USB adapter to your computer.
- Put the Poly audio device into pairing mode.
- Put the USB Bluetooth adapter into pairing mode by pressing and holding the pairing button in the recessed area with a pen or paperclip until the indicator flashes red and blue.
Note: Adapter construction may vary depending on the USB connection.
Upon successful pairing, you will hear "pairing successful" and "PC connected", and the USB adapter's LED will turn solid.
Charging
Checking Battery Level
To check the battery level:
- When the speakerphone is inactive, press the power button for an audible battery level announcement.
- When the speakerphone is inactive, press any button to display the battery level via the LED panel.
Battery LED Indicators:
- Solid White (long): Battery fully charged
- Solid White (medium): High battery level
- Solid White (short): Medium battery level
- Solid Red: Low battery level
- Flashing Red: Critically low battery level
Note: LEDs do not illuminate in standby mode.
Charging the Speakerphone
The speakerphone charges via USB using a computer or a wall charger (not included). The LED panel flashes while charging and turns solid white when fully charged. Full charge takes approximately 5 hours.
Note: For faster charging, use a wall charger or a high-speed USB port on your computer.
Note: The speakerphone includes a combined USB-A and USB-C cable for versatile connection options.
Charging a Mobile Phone
While the speakerphone is powered on, connect your phone's charging cable to the USB-A port on the speakerphone (cable not included). The speakerphone's battery level must be at least medium.
Note: The connection only provides power.
Software Updates
Use the Poly Lens desktop application for advanced settings and customization. Some softphones may require Poly software for call control (answering/ending calls, muting). Download from poly.com/lens.
Note: Device settings are also available in the Plantronics Hub desktop application.
Keeping the firmware and software up-to-date enhances performance and functionality. Update your device using the Poly Lens app, available at poly.com/lens.
Daily Use
Power
Press and hold the power button for 2 seconds to turn the speakerphone on or off. The LED panel illuminates when powered on.
Answering or Ending Calls
Press the call control button to answer or end a call.
Mute/Unmute Microphone
During an active call, press the mute button to mute or unmute your microphone. Microphone mute settings can be managed in the Poly Lens app.
Volume
Press the volume up (+) or volume down (-) buttons to adjust the volume.
Speakerphone Microphone Volume Adjustment:
Perform a test call using your softphone and adjust the volume levels accordingly for both the softphone and your PC.
Voice Assistant
Press and hold the call control button for 2 seconds to activate your phone's default voice assistant (Siri, Google Assistant, Cortana). Follow the prompts for voice commands, searching, and other smartphone voice control features.
Speakerphone Settings
Configure the function of the rocket icon button in the Poly Lens desktop app. The default function is Play/Pause media. Other options include:
- Play/Pause audio (default)
- Check device status
- Clear trusted device list
- Mobile-only calls: Default voice assistant (Siri, Google Assistant)
- Redial
- Call transfer / resume call (depends on softphone)
Connecting Speakerphones (Daisy-Chaining Audio)
You can connect two Poly Sync speakerphones together, or a Sync speakerphone to a computer or mobile device. Ensure all speakerphones are updated to the latest firmware via the Poly Lens app. The primary device is the one connected to your computer or mobile phone.
- Pair or connect one speakerphone to your PC or mobile device (refer to Installation section).
- To wirelessly connect speakerphones, press and hold the connect buttons (?) on both speakerphones for 2 seconds. You will hear "connecting", and the LEDs will flash white. Upon successful connection, you will hear "connection successful", and the LEDs on both speakerphones will be solid white.
Note: This mode can only be activated when both speakerphones are idle.
You can control the system from either speakerphone for audio playback or calls.
To end the daisy-chain connection, press and hold the connect buttons (?) on both devices for 2 seconds. You will hear "device disconnected".
Audio settings for daisy-chained speakerphones (Party or Stereo mode) can be managed in the Poly Lens app.
Note: In Stereo mode, the primary device handles the right audio channel, and the secondary device handles the left.
Troubleshooting
- Speakerphone not powering on: Ensure it's charged. If new, it may be in deep sleep mode; connect to power to wake it up.
- Slow charging: Use a faster USB charger or port.
- Microsoft Teams Interaction: Press the Teams button to launch Teams. The device is compatible with the Teams desktop app.
- Stereo Audio with Two Speakerphones: Yes, enable "Stereo" in the Poly Lens app under Settings > General > Daisy chain audio.
- Secure Pairing with Mobile Phone: Activate in the Poly Lens app. The speakerphone disconnects from the mobile device after each call. To maintain connection, press any button within 30 seconds after the call ends.
- Rocket Icon Button Functionality: Configure in the Poly Lens app.
