Description of print settings for Windows-Based Computers.
Accessing the Print Driver
To access the print driver when in a document, navigate through the application's menu: File → Print → Printer Properties.
My Tab
This function acts as the customizable home screen for printing preferences.
Edit My Tab
Use this section to select functions to display on the My Tab page.
- Setting Item List: Choose settings from the printing preference tabs to add to the front page. Add items by selecting their name and choosing to add them 'to the LEFT' or 'to the RIGHT'.
- Reorder Items: Select a setting to be moved, then choose to move it up, down, to the other column, or completely remove it.
Remove Info Box
To remove the blue rectangle with a light-bulb icon that states 'This tab allows you to arrange setting items as you like,' select the checkbox for 'Do not show again,' then press OK. The Info Box will disappear the next time printing preferences are opened.
Basic Tab
This tab provides access to standard settings.
- Original Orientation: Select whether the print job is Portrait (vertical) or Landscape (horizontal).
- Original Size: Specify the size of the original document.
- Paper Size: Define the size for the document output.
- Zoom: If the paper size differs from the original size, this option helps automatically fit the document onto the page, or allows manual reduction/enlargement.
- Paper Tray: Select the paper tray to be used. 'Auto' allows the machine to pick a paper drawer based on the document size. If using the bypass tray, it must be chosen before sending the job.
- Paper Type: Select a paper type that matches the paper loaded in the tray. The 'Paper Settings for Each Tray' button allows updating thicknesses for each tray instead of using a dropdown.
- Output Method: Determine what happens to the document after it is sent to the machine:
- Print: Directly prints the document from the machine.
- Secure Print: Adds a name and password to hold the document at the printer. To release the job, enter the same ID and Password when prompted.
- Save in User Box: Saves documents to a file folder on the machine for later release.
- Proof Print: For multiple copies, this outputs one copy for review, then prompts to release the remainder on the copy screen.
- Copies: Specify the quantity of copies to print.
- Collate: Check this box to turn collation on or off.
- On: Prints documents in order, as a set (e.g., a 3-page document prints as '1-2-3, 1-2-3, 1-2-3').
- Off (Grouping): Prints individual pages as sets (e.g., a 3-page document prints as '1-1-1, 2-2-2, 3-3-3').
- Offset: Jogs each document set approximately 1/2 inch to the left/right, making sets easier to retrieve.
Layout Tab
This tab provides options for choosing print type and gang-up features.
- Combination: Select from various combination/gang-up options. This feature fits multiple pages onto one side of a sheet or enlarges one image onto multiple sheets. The 'Combination Details' button offers layout order choices.
- Rotate 180: Flips the entire document upside-down, which can be beneficial for tri-fold alignment issues.
- Skip Blank Pages: Removes blank pages from the print output.
- Chapters: Available only when 'Booklet' print type is selected. If the document has chapters defined, this option allows choosing specific chapters to print.
- Print Type: Select from 1-sided, 2-sided, or booklet printing. Booklet mode combines 2 pages onto 1 sheet and prints double-sided so page numbers are correctly laid out when folded.
- Binding Position: Determines the direction a page turns.
- Left Bind: Turns the page from left to right, like a standard book.
- Top Bind: Turns the page upwards, like a calendar.
- Binding Margin: If the document requires binding or extra space near the spine, this option shifts the document on the page to accommodate the margin (useful for 3-hole punching).
- Image Shift: If the document needs alignment on the sheet, this option allows editing the shift. Note that it shifts the entire page, not just an image on the page.
Finish Tab
This tab allows enabling finishing features. A finisher must be installed on the device to use these options.
- Staple: Select to staple a specific corner or add two staples on a specific side of the printout.
- Center Staple and Fold: A 'quick button' that enables saddle-stitching and folding in the middle of the page.
- Punch: Options to place 2 or 3 holes on a chosen side of a sheet of paper.
- Fold: Options for half-fold, tri-fold, or z-fold.
- Output Tray: Choose the tray from which the document exits the machine.
- Paper Arrangement: Prioritizes arranging paper based on document pages, prioritizing productivity by importance of page.
***Option must be installed on the machine to use.
Cover Mode Tab
This tab allows printing on paper from multiple drawers within the same document. A paper tray other than 'auto' must be chosen in the Basic tab to access Cover Mode options.
- Front Cover: Choose to add a front cover to the document (or front and back if using the booklet feature). Options include inserting a blank cover (e.g., for preprinted covers via the bypass tray) or printing the first page of the document on specific paper.
- Front Cover Tray: Select the tray for the cover. For very thick paper, the bypass tray is recommended. For booklet features, the cover paper size must match the inside pages.
- Back Cover: Choose to add a back cover to the document. Options include inserting a blank cover (e.g., for preprinted covers via the bypass tray) or printing the first page of the document on specific paper.
- Back Cover Tray: Select the tray for the back cover. For very thick paper, the bypass tray is recommended.
- Front Cover from Post Inserter/Back Cover from Post Inserter: If a Post inserter is attached, check the box and select the tray to pull the cover from.
- Per Page Setting: Allows choosing paper for specific sheets, including one-sided, two-sided, blank, or a print insert (using the bypass tray).
- Selecting 'edit list' opens a new box for additional options.
- Select 'add' to insert a new setting and modify it while the line is selected.
- Transparency Interleave: Inserts a transparency sheet into the document. Only blank transparencies are supported; it is recommended to print on the sheet first and then place it on the tray.
- Interleave Tray: Choose the tray for the transparency.
- Default: Reverts settings to the computer's default for this print driver.

Stamp/Composition Tab
This tab allows adding overlays, text, or page numbers on top of the document.
- Watermark: Overlay text on the document. Choose from presets or select 'Edit' to create a custom watermark.
- Create Overlay File: Saves the current document as an overlay to insert into a new document (as a '*.KFO' file), useful for adding letterhead.
- Print in Overlay: Inserts an overlay document (must be in '*.FKO' format).
- Browse Files: Search for overlay files on the computer or network.
- Overlay Print Setting: Choose if the overlay applies to the first page or all pages, and whether the image appears above or below the document text.
Copy Protect
If a document should only be valid from its original form or needs copy protection, check this box. Select 'Edit' to modify protection information. The protected text is not visible on the original but appears when copied.
- Print Item Tab:
- Copy Protect type: Select phrase, date/time, serial number, distribution control number, or job number to print behind the document.
- Position: Select text size and orientation (straight or angled).
- Acquire Device Information: Updates date/time/serial to match machine settings.
- Composition Tab:
- Copy Protect: Select a background pattern and text to overwrite when copying, choosing to print on top or under the document, and setting text color.
- Stamp Repeat: Select text from the original document to be visible, choosing to print above or below document text, and changing color.
Date/Time & Page Number
Add date, time, or page numbers by checking the correlating box and selecting 'Edit'.
- Date/Time: Select format, choose to print on the first page or all pages, and set color and positioning.
- Page Number: Select the starting and finishing pages, choose to print on the cover, and set color and positioning.
Header/Footer
Add characters, date/time, serial number, job number, or account/user name.
- Distribution Control Number: Select if the item should print in the header, footer, or both, and choose the starting number for the document.
- Edit: Options to select first or all pages printed, and set text color.
Quality Tab
This tab allows changing color and quality settings.
- Select Color: Choose to print in color or grayscale.
- Auto Color: Prints color pages using black toner for grayscale images and text.
- Full Color: Prints color pages using CMYK mix for grayscale images and text (may incur color charges for grayscale pages).
- Grayscale: Prints using black ink only.
- 2 Color: Select black plus one other color for a stylized effect.
- Quality adjustment: Adjust brightness, contrast, saturation, color balance, and smoothness.
- Color Settings: Focus on specific graphics and images for better output.
- Document: For basic text documents (Word/Excel).
- Photo: For printing photographs, providing better depth.
- DTP: 'Data-Text-Photo' is best for publications.
- Web: Best for printing low-resolution web pages.
- CAD: Adjusts for documents with thin lines (CAD or architectural drawings).
- Resolution: Select the DPI (Dots-Per-Inch). 600 DPI is suitable for most documents, but 1200 DPI is recommended for high-resolution photos.
- Pattern: Select if toner dots should print smoothly (fine) or separated (coarse).
- Image Compression: Maximum compression keeps document integrity while shrinking file size. Best quality retains all file data for optimal print quality.
- Glossy Mode: When selected, the toner heats faster, creating a gloss effect.
- Font Settings: Configure how the machine handles unrecognized fonts (e.g., downloaded fonts).
- Additional Options: Depending on the print driver, options for adjusting color and edge enhancement may be available.
Other Tab
This tab provides additional options to further adjust print quality. It is recommended to leave these boxes checked unless instructed otherwise.
- Excel Job Control: (Windows only) Prevents sheets within a document with different settings from being printed as separate documents when printed simultaneously.
- Remove White Background: Prevents an overlay image's white background from being overwritten by the PowerPoint original's background slide.
- Thin Line Support: (PCL driver only) Ensures extra-fine lines in the document are printed clearly.
- Check Driver Version: View driver information.
Favorite Setting
Step-by-step instructions to save or use a preset for frequently used settings.
Saving a Favorite Setting
- Open a document. Select File → Print → Printer Preferences.
- Configure the desired settings (e.g., 2-sided, auto-color, staple).
- Select 'Add' at the top of the printer preferences box.
- Name the favorite, and change the icon and comments as needed.
- Check the boxes under 'Restore Items' by clicking the 'Select All' button.
- Press OK to save.
Note: If the favorites setting is grayed out in the print driver, it may be due to locked access rights within a program. To add a favorite, go to the Start Menu → Devices and Printers, right-click the machine, and choose 'Printing Preferences.' Follow steps 2-6. If unable to change, contact the network administrator.
Using a Favorite Setting
- Open a document. Select File → Print → Printer Preferences.
- Select the dropdown next to 'Favorite Setting.'
- Choose the desired preset. The settings will be applied.
Editing a Favorite Setting
Select the 'edit' button and choose a setting to move up/down in the list or to delete. Settings within a favorite cannot be changed once created.
