1. Introduction

The Polycom VoxBox is a compact and portable speakerphone designed to enhance your communication experience. It offers versatile connectivity options, including Bluetooth wireless pairing and USB, making it suitable for various devices such as smartphones, tablets, desktops, and laptops. Key features include Polycom HD Voice for clear audio and Polycom NoiseBlock technology, which automatically mutes the microphone when you are not speaking, effectively silencing distracting background noises.

4. Setup

4.1. USB Connection

  1. Connect one end of the provided USB cable to the USB port on the Polycom VoxBox.
  2. Connect the other end of the USB cable to an available USB port on your computer (desktop or laptop).
  3. The device will be recognized automatically by your operating system (Mac or PC) and will be ready for use as an audio input and output device.
  4. When connected via USB, the VoxBox also charges its internal battery.

4.2. Bluetooth Pairing

  1. Ensure the Polycom VoxBox is powered on.
  2. Press and hold the Bluetooth button on the VoxBox until the Bluetooth indicator light begins to flash, indicating it is in pairing mode.
  3. On your compatible device (smartphone, tablet, or computer), navigate to the Bluetooth settings.
  4. Search for available devices and select "Polycom VoxBox" from the list.
  5. Once paired, the Bluetooth indicator light on the VoxBox will become solid, confirming a successful connection.
  6. If you experience connection issues after using multiple devices, power cycling the VoxBox (turning it off and then on again) can resolve the problem.

5. Operating Instructions

5.1. Making and Receiving Calls

  • Answering a Call: When an incoming call is detected, the phone icon button on the VoxBox will illuminate. Press the phone icon button to answer the call.
  • Ending a Call: During an active call, press the phone icon button again to end the call.
  • Initiating a Call: Initiate calls directly from your connected device. The audio will automatically route through the VoxBox once the call is established.

5.2. Volume Control

Use the dedicated Volume Up (+) and Volume Down (-) buttons on the VoxBox to adjust the speaker volume to your preferred level. The volume is fully adjustable and can be loud enough for a medium-sized room.

5.3. Mute Function

To mute the microphone during a call, press the microphone mute button. The button will typically illuminate red to indicate that the microphone is muted. Press the button again to unmute the microphone.

5.4. Battery Management

The Polycom VoxBox is equipped with a Lithium Polymer battery, providing up to 6.5 hours of battery life on a full charge. The device charges automatically when connected via USB to a computer or a compatible USB power adapter.

6. Maintenance

To ensure optimal performance and longevity of your Polycom VoxBox, follow these maintenance guidelines:

  • Keep the device clean by wiping it with a soft, dry cloth. Avoid using abrasive cleaners or solvents.
  • Do not expose the device to extreme temperatures, humidity, or direct sunlight.
  • Store the device in a cool, dry place when not in use.

7. Troubleshooting

If you encounter issues with your Polycom VoxBox, refer to the following common solutions:

  • No Audio/Poor Audio Quality:
    • Ensure the VoxBox is properly connected via USB or Bluetooth.
    • Check the volume levels on both the VoxBox and your connected device.
    • Verify that the VoxBox is selected as the default audio input and output device in your computer's sound settings or communication application.
    • If using Bluetooth, try power cycling the VoxBox and re-pairing it with your device.
  • Microphone Not Working:
    • Ensure the microphone is not muted (check the mute button indicator).
    • Confirm the VoxBox microphone is selected in your communication application's audio settings.
  • Bluetooth Pairing Issues:
    • Make sure the VoxBox is in pairing mode (flashing Bluetooth indicator).
    • Ensure your device's Bluetooth is enabled and discoverable.
    • If you have previously paired with many devices, the VoxBox has a limit of 10 paired devices. You may need to clear existing pairings via the Polycom software or by contacting support for specific instructions.
    • Try restarting both the VoxBox and your Bluetooth device.
  • Firmware Updates: Polycom provides software for both PC and macOS that allows for firmware updates. Regularly checking for and installing updates can improve performance and resolve known issues.
