1. Introduction

The Polycom SoundPoint IP 331 is an enterprise-grade IP desk phone designed for clear communication and reliable performance. It offers excellent sound quality and essential features for small to medium-sized businesses and enterprises. This manual provides comprehensive instructions for setting up, operating, and maintaining your SoundPoint IP 331 phone.

2. Package Contents

Before proceeding with the setup, please ensure all components are present in the package:

3. Setup

3.1 Connecting the Phone

  1. Attach the Desk Stand: Align the desk stand with the slots on the back of the phone unit and snap it into place. The stand allows for two viewing angles.
  2. Connect the Handset: Plug one end of the coiled handset cord into the handset and the other end into the handset port on the back of the phone unit.
  3. Connect to Network and Power:
    • Using Power over Ethernet (PoE): Connect one end of the Ethernet cable to the LAN port on the back of the phone and the other end to a PoE-enabled network switch or router. The phone will receive power and network connectivity through this single cable.
    • Using an External Power Supply (Not Included): If PoE is not available, connect an appropriate 24V DC power adapter (sold separately) to the 24V DC port on the back of the phone. Then, connect one end of the Ethernet cable to the LAN port on the phone and the other end to your network router or switch.
  4. Connect a PC (Optional): If you wish to connect a computer through the phone, connect an Ethernet cable from your PC to the PC port on the back of the phone.

3.2 Initial Boot-up and Configuration

Upon successful connection, the phone will power on and begin its boot-up sequence. The display will show various messages as it connects to the network and attempts to provision. Depending on your VoIP service provider, the phone may automatically download firmware updates and configuration settings. If manual configuration is required, please refer to your VoIP service provider's specific instructions.

4. Operating the Phone

4.1 Basic Call Functions

  • Making a Call:
    1. Pick up the handset or press the Speakerphone button.
    2. Dial the desired number using the keypad.
    3. Press the Dial soft key or wait for the call to connect automatically.
  • Answering a Call: When the phone rings, pick up the handset or press the Speakerphone button.
  • Ending a Call: Hang up the handset or press the End Call soft key (if displayed) or the Speakerphone button.
  • Placing a Call on Hold: During an active call, press the Hold button. To resume the call, press the Hold button again or the corresponding line key.
  • 3-Way Conferencing:
    1. While on an active call, press the Conf soft key. The active call is placed on hold.
    2. Dial the number of the third party.
    3. Once the third party answers, press the Conf soft key again to join all parties.

4.2 Display and Navigation

The graphical LCD display shows call information, menu options, and status indicators. Use the 4-way navigation cluster and the central Select button to navigate through menus and select options. The soft keys located directly below the display change their function based on the current context.

5. Maintenance

To ensure the longevity and optimal performance of your Polycom SoundPoint IP 331 phone, follow these maintenance guidelines:

  • Cleaning: Use a soft, dry, lint-free cloth to clean the phone's surface and display. For stubborn marks, slightly dampen the cloth with water. Avoid using harsh chemicals, abrasive cleaners, or aerosol sprays, as these can damage the phone.
  • Environment: Keep the phone away from direct sunlight, excessive heat sources, and areas with high humidity. Ensure proper ventilation around the device.
  • Handling: Handle the phone and its components with care. Avoid dropping the handset or phone unit.
  • Cables: Periodically check all connected cables for any signs of wear or damage. Replace damaged cables immediately.
