Polycom VVX 400, 401 & 411 Quick User Guide
This guide provides essential information for using your Polycom VVX 400, 401, and 411 phones.
Get to Know Your Phone
- Soft Keys: These keys change function based on the current phone activity. For example, during a conference call, they will display conference-related options.
- Line Keys: Located on the sides of the phone screen, these keys indicate the status of your phone lines and associated activities.
Home View
- Home View displays icons that allow access to various phone functions.
- From Home View, press the Home button [⌂] to display options for Lines, Calls, or the Active Call View.
Placing Calls
- Enter the phone number first, then press Dial, pick up the handset, or press the Headset button [?].
Answering Calls
- To answer with the speakerphone, press the Speakerphone button [⧉] or tap Answer.
- To answer with the handset, simply pick up the handset.
- To answer with a headset, press the Headset button [?].
- To answer a new call while on an active call, press Answer. The current call will automatically be placed on hold.
Voicemail
- An envelope icon [✉️] next to a Line key indicates you have new voicemail. The voicemail indicator light in the upper right corner will also blink.
- Tap the designated VM button [✉️] and follow the on-screen prompts.
Call Hold and Resume
- During a call, tap the Hold soft key to place the call on hold.
- Press the Resume soft key to resume the held call.
Call Transfer
- During a call, tap the Transfer soft key to place the active call on hold.
- To transfer a call unannounced: Tap the Blind soft key, dial the number, and tap Send.
- To announce the transfer: Place a call to the party you wish to transfer to. After speaking with them, tap Transfer again to complete the process.
Placing Conference Calls
- Call the first party. After the call connects, select Confrnc to initiate a three-way conference call.
- Dial and connect with the second party, then press Confrnc again.
- Press Hold to put all participants on hold.
- Press End Call to disconnect yourself from the call while keeping other participants connected.
- Press Split to end the conference and place all participants on hold.
Muting the Microphone
- During a call, press the Mute button [?] so other parties cannot hear you.
- To disable Mute, press the Mute button [?] again.
- This function works for calls using the handset, headset, and speakerphone.
Adjusting Volume
- To change the call volume, press the Volume Up/Down buttons [⬆️⬇️] during a call.
- To change the ringer volume, press the Volume Up/Down buttons [⬆️⬇️] when the phone is idle or ringing.
