Avaya 9608 IP Office Telephone — Quick Reference Guide
This document provides a succinct guide to your Avaya 9608 IP Office Telephone, explaining essential features for quick use.
Phone Overview and Key Controls
The Avaya 9608 IP Office Telephone features a clear display, navigation controls, and context-sensitive softkeys. Key components include:
- Display: Shows call information, menus, and softkey labels.
- USB Port: Available on the 9611 model (?).
- Message Waiting Indicator: A light on the top right of the phone illuminates red for new messages (✉️).
- Softkeys: Located below the display, their functions change based on the current phone state.
- Navigation Arrows: ⬆️⬇️⬅️➡️ buttons for moving through menus and selecting options.
- OK Button: The central button used to confirm selections.
- Message Button: ✉️ Press to access your voicemail.
- Phone Button: ? Press to refresh the display and view call appearances.
- Avaya Menu / HOME Button: ? Access settings, customize options, view network information, or log off.
- Volume Buttons: ➕➖ Adjusts handset, headset, speaker, or ringer volume.
- Mute Button: ? Mutes the current call.
- Speaker Button: ? Activates the speakerphone.
- Headset Button: ? Activates a connected headset.
Important Definitions
- Softkeys
- Context-sensitive buttons whose functions change based on the phone's current state. For example, "Hold" or "Transfer" may not be available if no call is active.
- Message Button
- Press the ✉️ button to access your voicemail. The button and indicator light turn red when new messages are present.
- Phone Button
- Press the ? button to refresh the display and view call appearances.
- Avaya Menu / HOME Button
- Press the ? button to adjust settings like screen contrast and ring tones, view network settings, or log off.
Personal Contacts/Directory
Access your contacts by pressing the ? button. All functions are preceded by pressing this button.
Adding Entries
- Press the ? key to display the directory menu.
- Use the ⬅️➡️ arrow keys to select your Personal directory.
- Press the New soft key to enable editing of name and number.
- Use the ⬆️⬇️ arrow keys to switch between name and number entry.
- Press the Save soft key once the name and number are entered.
- Press the Cancel soft key to exit without saving changes. You can add up to 100 personal directory entries.
Editing Entries
- Use the ⬅️➡️ arrow keys to select your Personal directory and locate the entry. Press the Details soft key.
- Press the More soft key, then the Edit soft key.
- Use the ⬆️⬇️ arrow keys to switch between name and number entry.
- Press the Save soft key once changes are made.
- Press the Cancel soft key to exit without saving changes.
Deleting Entries
- Locate the entry in your Personal directory.
- Press the More soft key, then the Delete soft key.
Calling from the Contacts List
- Use the ⬅️➡️ arrow keys to select the directory type: All, External, Groups, Users, or Personal.
- Press the List soft key to display all entries, or type characters using the dialpad to display matching entries.
- Use the ⬆️⬇️ arrow keys to scroll through results. Press the Clear soft key to reset the search.
- When the desired entry is displayed, press the Call soft key.
Call History
Press the button to view received, missed, and outgoing calls. The phone stores 100 log entries. You can call an entry by pressing the Call soft key or add it to contacts using the +Contact soft key.
Note: The button illuminates for new missed calls. A ?❗ icon appears on the screen indicating the number of missed calls.
Call Handling
Answering a Ringing Call
- Lift the receiver.
- Press the ? button.
- Select the line button where the call appears.
Making a Call
- Lift the receiver and dial.
- Dial first to automatically use speaker function.
- Press the Redial soft key to access the last 30 numbers dialed.
Putting a Call on Hold
Press the Hold ⏸️ soft key. A fast blinking green LED next to the call appearance button indicates the call is on hold, shown with a ⏸️ icon on the display.
Note: To answer a new incoming call while on another call, press the slow-flashing appearance button of the new call; the current call is auto-held.
To resume a held call, press its call appearance button.
Transferring a Call
- While on an active call, press the Transfer ➡️ soft key.
- Dial the destination number.
- Press the Complete soft key to finish the transfer (for blind transfer or to announce).
If the destination is unavailable, press Cancel soft key while the destination line is highlighted to return to the original caller.
Transferring a Call Direct to Voicemail
- Press the Transfer ➡️ soft key. The call is auto-held (indicated by a blinking green LED).
- Dial #, then the extension number.
- Press the Complete soft key to finish.
Conference Calls
Conference Multiple Parties
- While on an active call, press the Conf ? soft key.
- Dial the next extension or a 10-digit external number. Contacts or History can also be used.
- After the party answers, press the Conf ? soft key again.
Adding Parties to a Conference Call
- Press the Hold ⏸️ soft key to place the conference on hold. Other participants can continue talking.
- Press an available appearance key to make a new call.
- Dial the party to add.
- If they wish to join, press Conf ? again. If not, press Cancel and then the held call's appearance key (fast green flash).
Other Features
- Use the side ⬅️➡️ Navigation Arrows and center ⬆️⬇️ arrows to view additional features (e.g., Intercom, Call Forward).
- Select and activate features as prompted by screen instructions.
Accessing Your Voicemail
- Remotely dial 908-731-4400.
- Enter your extension number and press #.
- Enter your password and press #.
Note: For the first login, no password is required; press #.
