Connecting your new handset

When your phone arrives, open up the Gigaset C430HX and ensure all equipment listed below is present before setup:

If all equipment is present, proceed to the next step. If not, please email customerservices@vivivoip.co.uk for assistance.

Once all items are unpacked, connect your handset. First, connect the flat plug adapter into the cradle, then plug it into a power socket near your desk.

To remove the plug from the cradle, press down the release button (indicated in diagrams) and then pull out the plug.

Inserting the batteries

Please use only rechargeable batteries. These can be purchased online via Amazon or eBay, or from local supermarkets or electrical stores. Using normal alkaline batteries can cause significant damage to the handset; avoid this at all costs.

Insert the batteries in the correct direction, referring to the accompanying diagram.

Fit the battery cover from the top and push it closed until the phone clicks into place.

To remove or replace batteries, grip the notch on the cover, slide it down, and then remove and replace the batteries. Follow the first step for adding new batteries.

Recharging the batteries will take up to four and a half hours. Batteries may heat up during recharge, which is normal and not dangerous. Battery charging capacity decreases over time; if the phone is frequently on charge, consider replacing the batteries.

Connecting Gigaset handset to your N300 IP Box

If you have a new handset, you need to register it to your Gigaset Base station. If you purchased the phone and base together, you can proceed by plugging in the devices and continuing to the next page.

To register a phone to the base:

  1. Put the handset into Register Mode.
  2. On your Gigaset base station, hold down the Register key (blue button on the front) for 3 seconds until the base station starts flashing.

The handset registration should complete within a few seconds, after which the handset will return to idle mode.

Functions

The handset offers several functions:

Control Key

The control key allows navigation through menus and input fields, and can activate certain functions depending on the situation. The table below describes its functions in different modes:

Menu Navigation

The phone's functions are accessed through a multi-level menu.

When the phone is idle, press the [Menu-key] or the [control-key-right] to access the menu options. Use the [control-key] to scroll to the desired function, then press the [OK-key] to confirm your selection.

To return to the previous level, press the [back-arrow] or the [end-call-key] briefly. To return to the Idle mode or home screen, press and hold the [end-call-key].

If the handset remains inactive for two minutes, it will automatically return to Idle mode.

Display

The handset features two display keys, highlighted in orange, which perform various functions based on the operating situation. The display shows the current function and the display keys.

Status bar

The status bar displays icons indicating various states, such as keypad lock, battery level, or radio contact between the base and handset.

[signal-strength-icon]Signal strength between handset and base station (1% to 100%). If maximum range is on, the icon is white; if off, it is green.

[voicemail-icon]You have a voicemail on the system; press the [key-1] to access your voicemail.

Battery icons

[battery-empty-flashing-red-icon]Flashing Red: Battery almost empty (approx. 5% remaining and 5 minutes of talk time left).
[battery-charging-icon]When the handset is on the cradle charging (battery is charging): 0% - 100%.

How to make calls with your new handset

To dial from your new handset

First, dial the number on the keypad, then press the [dial-key] (highlighted in orange) to call the number displayed.

To use the call list: Press the display key under 'Calls', then use the up/down keys to find the desired number, and press the [OK-key] from the display key to call it.

To end an active call, press the [end-key].

To redial a number from the redial list

First, press the [talk-key] to bring up the redial list.

Use the up and down keys to select the number you wish to redial.

To end the call, press the [end-key].

The redial list stores up to 20 numbers.

To call a number from call list

First, press the [control-key-centre] to bring up the menu.

Use the up and down keys to select 'call list' and press the [OK-key] to enter the call list function.

Use the up or down key and press [OK-key] to select the entry you want to dial.

Then, press the [talk-key] to call the selected number.

Calling from the Directory

There are two ways to access the Directory:

  1. Press the [down-key] to access the directory on the handset.
  2. Use the up or down keys to navigate to 'Directory' and press the [OK-key] to access it.

Once you have found the desired contact, press the [call-key] (highlighted in orange) to call the number.

How to answer calls with your new handset

When a call comes in to your phone

The LCD display will show the number or extension. To answer a call, press the [talk-key].

To use handsfree mode, press the [talk-key] again during the call.

To adjust the volume during a call, press the volume up or down keys on the handset.

Incoming Multiple calls

When you are on an active call, you will hear a beep indicating a second call is waiting. To accept the second call, press the [talk-key] to put the first caller on hold and answer the second.

To reject the second call and continue with the active caller, press the [reject-call-key].

Phone function during a call

How to mute the microphone

To mute the microphone during an active call, press the [right-key]. To unmute, press the same button again.

How to listen to your voicemails from the handset

To access your voicemail, press the [message-key] (highlighted in orange).

When the message screen opens, use the up or down keys to navigate to 'Mailbox' and press the [OK-key] (highlighted in orange) to listen to your voicemail messages.

Directory

The phone directory can store up to 200 contacts. The following describes how to add or remove contacts.

How to add a contact in the directory

  1. Press the [down-key] to access the directory.
  2. Navigate to 'New Entry' using the up and down keys and press the [OK-key] (highlighted in orange).

Use the arrow keys to navigate between fields. Use the keypad to enter the name and number. You can also add the contact's email address.

Once complete, press the [Save-button] to save the contact to the directory.

How to delete a contact in the directory

  1. Press the [down-key] to access the directory.
  2. Use the up or down keys to find the entry you wish to delete, then press the [menu-key] (highlighted in orange).
  3. Select 'Delete Entry' using the up or down key, then press the [OK-key] (highlighted in orange) to remove the entry from the directory.

How to edit a contact in the directory

  1. Press the [down-key] to access the directory.
  2. Use the up or down keys to find the entry you wish to edit.

To display the number: On the entry, press the [Menu-button] (highlighted in orange), select 'Show Number', and then press the [OK-button].

To change an entry: Press the [Menu-button] (highlighted in orange), navigate to 'Edit Entry' using the up or down keys, and press the [OK-key] (highlighted in orange).

You can then change the number or character using the keypad. To delete a character, use the [backspace-symbol] key (highlighted in blue).

Protection from anonymous calling

  1. Press the [menu-button].
  2. Use the display key to go to 'Settings', then press the [OK-button] (highlighted in orange).
  3. Use the up and down keys to go to 'Audio Settings', click the [OK-key] (highlighted in orange), then go to 'Ringtone(Handset)' and press [OK].
  4. Go to 'Anon.Calls Silent' and click the [Edit-button] to enable anonymous call blocking on that handset.

If you have multiple handsets, this process may need to be repeated.

The Phone Settings

You can adjust various settings on your handset, including time, date, country, and call volume.

To access phone settings: Press the [Menu-key], scroll to 'Settings', and press the [OK-key]. Follow the guides below for specific adjustments.

Date and Time

To set the correct date and time:

  1. Select 'Date and Time' and press the [OK-button].
  2. Using the keypad, enter the date (day, month, year) in an 8-digit format. Then, use the [down-button] to enter the time (hours, minutes) in a 4-digit format. Press [Save] to confirm.

To return to the home screen, press the [end-call-key].

Display Language

Select 'Language' and press the [OK-button]. Choose your desired language and press [OK]. The selected language will be displayed.

If you accidentally select the wrong language, press the [centre-control-key], enter digits 6 and 5 sequentially, select the correct language, and press [OK].

Contrast

The handset offers 9 levels of contrast.

Select 'Display', press the [OK-button], go to 'Contrast', and press [OK]. Use the up or down keys to select the desired level, then press the [OK-key]. The selected level will be shown.

Screen saver

The screen saver activates when the phone is not in use for a period of time.

To configure: Select 'Display', press the [OK-button], go to 'Screen saver', and press [EDIT].

Display Backlight

The display illuminates when the handset is removed from the base station, taken off the charging cradle, or when any key is pressed. Digit keys pressed appear on the display for pre-dialing.

To adjust backlight settings:

Ringtones - Call Volume

Adjust the handset volume or handsfree function. There are 5 volume levels.

Use the up and down keys to choose 'Audio Settings', press [OK], go to 'Ringtone(Handset)', press [OK], then 'Volume', and press [OK].

Use the up and down keys to select 'Internal calls' or 'External Calls'. Use the left and right keys to set the volume, then press the [Save-button].

Ringtones - Melody

Set different ringtones for internal and external calls.

Use the up and down keys to choose 'Audio Settings', press [OK], go to 'Ringtone(Handset)', press [OK], then 'Melodies', and press [OK].

Use the up and down keys to select the connection (IP1 or all calls) and use the left and right keys to select the ringtone or melody for each Internal and External Call, then press [Save].

Switching the Ringtone on or off

Press and hold the [star-key] to turn the ringtone on or off. If turned off, a specific symbol will be displayed.

Firmware

Update the firmware

This is only necessary if you are experiencing issues or have been instructed by the support team.

  1. Select 'Firmware Update' and press [OK]. You will then see the following options:

Handset faulty or replacement part

If your handset develops a fault, a remote session may be conducted to diagnose and repair the phone via web configuration or your router. You may be asked to switch the handset to another port or handset to check if the issue persists, and you might need to reboot the handset. If the handset is faulty, you will be emailed instructions on how to send it back for diagnosis and potential repair.

For replacement parts such as a PSU, Receiver, or Curly Cord, contact the customer service or support team. They will place an order, and you will be informed of the part cost and delivery time.

Faults and Solutions

Issue you are facingSolution
Receiver is not picking up any soundCheck if the phone cable is connected to the Headset port, not the Handset port (refer to page 4). Perform an echo test by dialing 121. During an active call, press the volume key to check and increase the volume setting. If the issue persists, try another receiver to rule out a base station issue.
Phone is not ringingEnsure 'Do Not Disturb' (DND) is not active on the handset. A DND icon may be visible on the LCD display (refer to page 15 for 'Putting the phone on DND mode').
Phone says Network DownIf the LCD displays 'Network Down' or has a hollow network status icon, your IT network may be experiencing issues. Try opening a webpage or refreshing emails to check internet connectivity.
Busy Lights are not greenIf you do not have internet connectivity, reboot your router or switches, then reboot the handset. If the issue persists, contact the support team. Busy lights only show green or red if there is an active SIP account on the system using the correct extension number. If busy lights do not reappear after a reboot, ensure the correct extension number has been entered.
I have changed my name on the phone and it is not showing upVerify the name change on the VIVI portal under 'Change Handset Name'. If it hasn't updated, go to 'System Editor', then 'Extensions', change your name there, save, and apply. A handset reboot may be required for the change to display correctly.
Time and Date are not in UK formatNavigate to Menu > Preference > 'Date and Time'. Select 'Time Zone' and choose 'GMT London' or your relevant time zone, then press [OK]. For the date format, go to Preference > Date and Time > 'Date Display Format' and select your preferred format.
