Printer Quick Reference
Making Copies
To make copies, follow these steps:
- Load an original document into the Automatic Document Feeder (ADF) tray or onto the scanner glass. Ensure the original document and output have the same paper size to avoid cropped images.
- From the home screen, touch Copy, then specify the number of copies. Adjust copy settings if necessary.
- Touch Copy to begin. For a quick copy, press the copy button on the control panel.
Copying on Both Sides of the Paper
- Load an original document into the ADF tray or onto the scanner glass.
- From the home screen, touch Copy > Sides.
- Adjust the settings.
- Touch Copy to begin.
Copying Multiple Pages onto a Single Sheet
- Load an original document into the ADF tray or onto the scanner glass.
- From the home screen, touch Copy > Pages per Side.
- Adjust the settings.
- Touch Copy to begin.
Configure SMTP settings to send scanned documents via email. Settings vary by email service provider.
Prerequisites: The printer must be connected to a network that is connected to the Internet.
Configuring E-mail SMTP Settings
Using the Embedded Web Server (EWS)
- Open a web browser and type the printer's IP address in the address field. (The IP address can be found on the printer's home screen.)
- Click Settings > E-mail.
- In the E-mail Setup section, configure the required settings.
- Click Save.
Using the E-mail Setup Wizard in the Printer
Note: Ensure the printer firmware is updated before using the wizard.
- From the home screen, touch E-mail.
- Touch Set up now, and then enter your email address.
- Enter the password (account password, app password, or authentication password, depending on your provider).
- Touch OK.
Using the Settings Menu in the Printer
- From the home screen, touch Settings > E-mail > E-mail Setup.
- Configure the settings.
E-mail Service Providers
The printer supports various email providers including AOL Mail, Comcast Mail, Gmail, iCloud Mail, Mail.com, NetEase Mail (multiple domains), Outlook Live or Microsoft 365, QQ Mail, Sina Mail, Sohu Mail, Yahoo! Mail, and Zoho Mail. Specific SMTP gateway, port, SSL/TLS, and authentication settings are provided for each in the original document.
Sending an E-mail
Ensure SMTP settings are configured before sending.
Using the Control Panel
- Load an original document into the ADF tray or onto the scanner glass.
- From the home screen, touch E-mail, and then enter the necessary information.
- Configure output file type settings if needed.
- Touch Send E-mail.
Using a Shortcut Number
- Load an original document into the ADF tray or onto the scanner glass.
- From the home screen, touch Shortcuts > E-mail.
- Select the shortcut number.
- Touch Send E-mail.
Scan
Scanning to a Computer
Prerequisites: Printer firmware is updated, and the computer and printer are on the same network.
For Windows Users
- Load an original document into the ADF or onto the scanner glass.
- On the computer, open Windows Fax and Scan.
- From the Source menu, select a scanner source.
- Adjust scan settings if necessary.
- Click Scan.
For Macintosh Users
- Load an original document into the ADF or onto the scanner glass.
- On the computer, open Image Capture or navigate to Printers & Scanners, select the printer, and click Scan > Open Scanner.
- In the Scanner window, select the save location, original document size, and choose to scan from the Document Feeder if applicable. Configure scan settings as needed.
- Click Scan.
Fax
Setting Up the Printer to Fax
Notes: Some connection methods are country/region specific. A blinking red indicator light may signify incomplete fax setup. If you do not have a TCP/IP environment, use the control panel for setup.
Warning—Potential Damage: Do not touch cables or the printer in the indicated areas while actively sending or receiving a fax.
Using the Control Panel
- From the home screen, touch Settings > Device > Preferences > Run Initial Setup.
- Turn the printer off, wait 10 seconds, and turn it back on.
- Configure settings on the Fax setup screen.
- Finish the setup.
Using the Embedded Web Server (EWS)
- Open a web browser and type the printer's IP address.
- Click Settings > Fax > Fax Setup > General Fax Settings.
- Configure the settings.
- Apply the changes.
Sending a Fax
Note: Ensure fax is configured.
Using the Control Panel
- Load an original document into the ADF tray or onto the scanner glass.
- From the home screen, touch Fax, and enter the necessary information. Adjust settings if needed.
- Touch Send Fax.
Using the Computer
Prerequisite: Fax driver is installed.
For Windows Users
- From the document, open the Print dialog.
- Select the printer and click Properties, Preferences, Options, or Setup.
- Click Fax > Enable fax > Always display settings prior to faxing, and enter the recipient number. Configure other fax settings as needed.
- Send the fax.
For Macintosh Users
- With a document open, choose File > Print.
- Select the printer with "- Fax" appended to its name.
- In the To field, enter the recipient number. Configure other fax settings as needed.
- Send the fax.
Printing from a Computer
Note: For labels, card stock, and envelopes, set the paper size and type in the printer before printing.
- From the document, open the Print dialog.
- Adjust settings as necessary.
- Click Print.
Printing from a Mobile Device
Using AirPrint (Apple Devices)
Notes: Ensure the Apple device and printer are on the same network. This feature is supported on select Apple devices.
- From your mobile device, select a document or launch a compatible application.
- Tap the share icon (?) > Print.
- Select the printer and adjust settings if necessary.
- Tap Print.
Using Wi-Fi Direct®
Note: Ensure the mobile device is connected to the printer's Wi-Fi Direct network.
- From your mobile device, launch a compatible application or select a document.
- Tap the share icon (?) > Print.
- Select the printer and adjust settings if necessary.
- Tap Print.
Printing Confidential and Other Held Jobs
For Windows Users
- With a document open, click File > Print.
- Select the printer and click Properties, Preferences, Options, or Setup.
- Click Print and Hold.
- Select Use Print and Hold and assign a user name.
- Select the print job type (Confidential, Repeat, Reserve, or Verify). Secure confidential jobs with a PIN.
- Click OK or Print.
- From the printer home screen, release the print job by navigating to Held jobs > select user name > Confidential (if applicable) > enter PIN > select print job > configure settings > Print.
For Macintosh Users
Using AirPrint
- With a document open, choose File > Print.
- Select the printer. From the drop-down menu next to the Orientation menu, choose PIN Printing.
- Enable Print with PIN and enter a four-digit PIN.
- Click Print.
- From the printer home screen, release the print job by navigating to Held jobs > select computer name > Confidential (if applicable) > enter PIN > select print job > Print.
Using the Print Driver
- With a document open, choose File > Print.
- Select the printer. From the drop-down menu next to the Orientation menu, choose Print and Hold.
- Choose Confidential Print and enter a four-digit PIN.
- Click Print.
- From the printer home screen, release the print job by navigating to Held jobs > select computer name > Confidential (if applicable) > enter PIN > select print job > Print.
Maintain the Printer
Attaching Cables
CAUTION—SHOCK HAZARD: Avoid electrical shock by not setting up the product or making electrical connections during a lightning storm.
CAUTION—POTENTIAL INJURY: Use only the provided power cord or an authorized replacement. Connect the power cord to a properly grounded electrical outlet.
CAUTION—POTENTIAL INJURY: Use only a 26 AWG or larger telecommunications (RJ-11) cord for connecting to the public switched telephone network.
Warning—Potential Damage: Do not touch cables or the printer in the indicated areas while actively printing.
Port | Function |
---|---|
1. EXT port | Connect additional devices (telephone, answering machine) to the printer and telephone line. Use if no dedicated fax line is available and supported in your region. |
2. LINE port | Connect the printer to an active telephone line via a wall jack (RJ-11), DSL filter, or VoIP adapter. |
3. USB printer port | Connect the printer to a computer. |
4. Ethernet port | Connect the printer to a network. |
5. Power cord socket | Connect the printer to a properly grounded electrical outlet. |
Replacing the Toner Cartridge
- Open the front door. Warning—Potential Damage: Touch an exposed metal frame before touching interior areas to prevent electrostatic discharge damage.
- Remove the imaging unit.
- Twist the blue latch and remove the used toner cartridge from the imaging unit.
- Unpack the new toner cartridge.
- Shake the toner cartridge to redistribute the toner (3x).
- Insert the new toner cartridge into the imaging unit until it clicks.
- Insert the imaging unit.
- Close the door.
Warning—Potential Damage: Do not expose the imaging unit to direct light for more than 10 minutes. Do not touch the photoconductor drum.
Cleaning the Scanner
- Open the scanner cover.
- Using a damp, soft, lint-free cloth, wipe the ADF glass pad, scanner glass pad, ADF glass, and scanner glass.
- Close the scanner cover.
Loading Trays
- Remove the tray. Note: Do not remove the tray while the printer is busy to avoid paper jams.
- Adjust the guides to match the paper size.
- Flex, fan, and align the paper edges before loading.
- Load the paper stack with the printable side facedown, ensuring guides fit snugly against the paper. Notes: Load letterhead facedown with the header toward the front for one-sided printing; faceup with the header toward the back for two-sided printing. Do not slide paper into the tray. Ensure stack height is below the maximum fill indicator.
- Insert the tray. Set paper size and type on the control panel if necessary.
Loading the Multipurpose Feeder
- Open the multipurpose feeder.
- Flex, fan, and align the paper edges before loading.
- Load paper with the printable side faceup. Notes: Load letterhead faceup with the header toward the rear for one-sided printing; facedown with the header toward the front for two-sided printing. Load envelopes with the flap facedown on the left side. Warning—Potential Damage: Do not use envelopes with stamps, clasps, snaps, windows, coated linings, or self-stick adhesives.
- Adjust the guide to match the paper size.
- From the control panel, set the paper size and type to match the loaded paper.
Setting the Paper Size and Type
- From the home screen, navigate to Settings > Paper > Tray Configuration > Paper Size/Type > select a paper source.
- Set the paper size and type.
Installing the Printer Software
Notes: The print driver is included. For macOS 10.7+, the driver is not needed for AirPrint, but can be downloaded for custom features.
- Obtain the software installer package from the CD or the manufacturer's website.
- Run the installer and follow the on-screen instructions.
Installing the Fax Driver
- Obtain the installer package from the manufacturer's website.
- Run the installer and follow the on-screen instructions.
Updating Firmware
Regularly update printer firmware to enhance performance and fix issues. Contact your sales representative for details.
- Open a web browser and type the printer's IP address.
- Click Settings > Device > Update Firmware.
- Choose Check for updates > I agree, start update, or upload the flash file by browsing to it, clicking Upload, and then Start.
Adding Printers to a Computer
Prerequisites: Printer and computer connected to the same network, or connected directly via USB.
For Windows Users
- Install the print driver.
- Open Printers & scanners and click Add a printer or scanner.
- Select the printer from the list, click Add device, or click Show Wi-Fi Direct printers and select the printer. If the printer is not listed, click The printer that I want isn't listed, select Add a printer using a TCP/IP address or hostname, enter the printer's IP address, select a print driver, and follow the prompts to name and share the printer.
For Macintosh Users
- Open Printers & Scanners.
- Click the add button (➕), and select the printer.
- From the Use menu, select a print driver (AirPrint, Secure AirPrint, or the manufacturer's driver for custom features).
- Add the printer.
Connecting a Mobile Device to the Printer
Prerequisite: Wi-Fi Direct configured.
Connecting using Wi-Fi Direct (Android)
- On the mobile device, go to settings, enable Wi-Fi, and tap Wi-Fi Direct.
- Select the printer's Wi-Fi Direct name.
- Confirm the connection on the printer control panel.
Connecting using Wi-Fi
- On the mobile device, go to settings, tap Wi-Fi, and select the printer's Wi-Fi Direct name (prefixed with DIRECT-xy).
- Enter the Wi-Fi Direct password.
Configuring Wi-Fi Direct
Wi-Fi Direct allows devices to connect directly to the printer without a router.
- From the home screen, touch Settings > Network/Ports > WiFi Direct.
- Configure settings: Enable Wi-Fi Direct, assign a Wi-Fi Direct Name and Password, choose whether to show the password on the setup page, and decide on Auto-Accept Push Button Requests (note: auto-accept is less secure).
Notes: The default Wi-Fi Direct password is not visible. To reveal it, go to Settings > Security > Miscellaneous > Enable Password/PIN Reveal. To view the password without revealing it on the display, print the Network Setup Page via Settings > Reports > Network > Network Setup Page.
Connecting the Printer to a Wi-Fi Network
Prerequisites: Active Adapter set to Auto, Ethernet cable disconnected.
Using the Wireless Setup Wizard
Note: Ensure printer firmware is updated.
- From the home screen, touch the setup icon (⚙️) > Set up now.
- Select a Wi-Fi network and enter the network password.
- Touch Done.
Using the Settings Menu
- From the home screen, touch Settings > Network/Ports > Wireless > Setup On Printer Panel > Choose Network.
- Select a Wi-Fi network and enter the network password.
Connecting a Computer to the Printer
Prerequisite: Wi-Fi Direct configured.
For Windows Users
- Open Printers & scanners and click Add a printer or scanner.
- Click Show Wi-Fi Direct printers and select the printer's Wi-Fi Direct name.
- Note the eight-digit PIN displayed on the printer control panel.
- Enter the PIN on the computer. Windows will download the appropriate driver if not already installed.
For Macintosh Users
- Click the wireless icon (?) and select the printer's Wi-Fi Direct name (prefixed with DIRECT-xy).
- Enter the Wi-Fi Direct password. Note: Switch your computer back to its original network after disconnecting.
Clearing Jams
Avoiding Jams
- Load Paper Properly: Ensure paper lies flat, do not overload trays, do not slide paper into the tray, position guides correctly, and push trays in firmly.
- Use Recommended Paper: Use only recommended paper or specialty media. Avoid wrinkled, creased, damp, bent, or curled paper. Flex, fan, and align paper edges. Do not use hand-cut paper. Do not mix paper sizes, weights, or types in the same tray. Ensure paper size and type settings match the loaded paper. Store paper correctly.
Identifying Jam Locations
Jam locations include: 1. Automatic document feeder, 2. Standard bin, 3. Multipurpose feeder, 4. Trays, 5. Duplex unit, 6. Rear door.
Notes: Jam Assist flushes blank pages after clearing jams if enabled. Jam Recovery reprints jammed pages if enabled.
Paper Jam in the Automatic Document Feeder (ADF)
- Remove all original documents from the ADF tray.
- Open the ADF cover.
- Remove the jammed paper, ensuring all fragments are removed.
- Close the ADF cover.
Paper Jam in the Standard Bin
- Raise the scanner and remove the jammed paper, ensuring all fragments are removed.
- Lower the scanner.
Paper Jam in the Multipurpose Feeder
- Remove paper from the multipurpose feeder.
- Remove the jammed paper, ensuring all fragments are removed.
- Close the multipurpose feeder.
- Open the front door. Warning—Potential Damage: Touch an exposed metal frame before touching interior areas to prevent electrostatic discharge damage.
- Remove the imaging unit. Warning—Potential Damage: Do not expose the imaging unit to direct light for more than 10 minutes. Do not touch the photoconductor drum.
- Remove the jammed paper. CAUTION—HOT SURFACE: Allow the interior to cool before touching. Ensure all paper fragments are removed.
- Insert the imaging unit.
- Close the front door and insert the tray.
- Open the multipurpose feeder.
- Flex, fan, and align paper edges before reloading.
- Reload paper.
Paper Jam in Trays
- Remove the tray.
- Open the front door. Warning—Potential Damage: Touch an exposed metal frame before touching interior areas to prevent electrostatic discharge damage.
- Remove the imaging unit. Warning—Potential Damage: Do not expose the imaging unit to direct light for more than 10 minutes. Do not touch the photoconductor drum.

- Insert the imaging unit.
- Close the front door and insert the tray.
- Open the rear door. CAUTION—HOT SURFACE: Allow the interior to cool before touching.
- Remove the jammed paper, ensuring all fragments are removed.
- Close the rear door.
- Remove the optional tray.
- Remove the jammed paper, ensuring all fragments are removed.
- Insert the tray.
Paper Jam in the Duplex Unit
- Open the front door. Warning—Potential Damage: Touch an exposed metal frame before touching interior areas to prevent electrostatic discharge damage.
- Remove the imaging unit. Warning—Potential Damage: Do not expose the imaging unit to direct light for more than 10 minutes. Do not touch the photoconductor drum.

- Insert the imaging unit.
- Close the door.

- Push the duplex unit latch to open the duplex unit.
- Remove the jammed paper, ensuring all fragments are removed.
- Close the duplex unit.
- Insert the tray.
Paper Jam in the Rear Door
- Open the front door. Warning—Potential Damage: Touch an exposed metal frame before touching interior areas to prevent electrostatic discharge damage.
- Remove the imaging unit. Warning—Potential Damage: Do not expose the imaging unit to direct light for more than 10 minutes. Do not touch the photoconductor drum.
- Open the rear door. CAUTION—HOT SURFACE: Allow the interior to cool before touching.
- Remove the jammed paper, ensuring all fragments are removed.
- Close the rear door.
- Insert the imaging unit.
- Close the front door.
