Safety Instructions

Rechargeable Built-in Battery

The device contains a built-in Li-polymer battery that cannot be replaced by the customer. Replacement must be done by authorized service centers or Philips partners. Batteries contain environmentally polluting substances and should be disposed of at official collection points.

Data Reset

The Philips VoiceTracer has 8 GB of internal storage. Performing a factory data reset will delete all data. Back up your data before resetting. Formatting the memory on a computer may cause incompatibilities; format only on the device.

Small Children

The device and its accessories may contain small parts. Keep them out of the reach of small children.

Legal Restrictions on Recording

Recording functionality is subject to local legal restrictions. Respect the privacy and personal rights of third parties when recording. Check local laws regarding recording telephone calls; in some countries, you must inform the other party that you are recording.

3. Get Started

CAUTION: Before connecting your VoiceTracer, read the safety instructions on page [3].

Charging the Battery

Charge the built-in battery before first use or if the device has been unused for an extended period. A full charge takes approximately 3 hours. Charge the device every 6 months, even when not in use, to prevent deep discharge. A charging battery icon will appear on the screen, and the Record/Status LED will flash orange.

NOTE: Ensure your computer is turned on when charging via USB. The device cannot be operated manually while connected to a computer. Charge promptly when the low battery icon appears.

Turn the Device On and Off

Slide and hold the Power switch on the right side downwards for three seconds to turn the device on or off.

Key Lock

To prevent unintended operations, slide the Power switch upwards towards the lock symbol to lock the device. The lock symbol will appear on the screen, and all buttons will be locked. Slide the Power switch downwards to unlock.

Connect to a Computer

Use the supplied USB cable to connect the device to your computer. It will be recognized as a mass storage device without needing any software installation. Refer to the "Charging the battery" illustration on page [7] for connection details.

CAUTION: Do not disconnect the USB cable during file transfer to avoid data loss.
NOTE: The device cannot be operated manually while connected to a computer.

Set the Date and Time

  1. In stop mode, press the Right function button to open the settings panel.
  2. Press the Record button to select "All settings".
  3. Press the Right function button to enter "Device settings".
  4. Navigate to "Date & time" using the Down button and press the Record button to confirm.
  5. Use the Up/Down buttons to adjust Date, Date format, and Time. Use the Forward and Backward buttons to change your selections.
  6. Press the Record button to confirm settings.
  7. Press the Back button to return to the stop mode screen.

Set the Device Language

  1. In stop mode, press the Right function button to open the settings panel.
  2. Press the Record button to select "All settings".
  3. Press the Right function button to enter "Device settings".
  4. Press the Record button to select "Language".
  5. Navigate to your desired language using the Up/Down buttons and press the Record button to confirm.
  6. Press the Back button to return to the stop mode screen.

4. Recording

Record a File

NOTE: Avoid covering the microphones during recording to maintain recording quality. If the recording time exceeds available storage capacity, the recording will stop. Delete files to free up space.

Before You Start Recording

Ensure the device has sufficient battery power. A low battery icon will appear when the battery is nearly discharged. The device will turn off automatically, and the current recording will be saved.

Select the folder where your recording will be saved. You can store up to 100 files in each folder (A, B, C, D). If a folder is full, subsequent recordings will be stored in the next available folder. It is recommended to make a test recording to find the best settings.

Start a New Recording

  1. In stop mode, press the Left function button to start a new recording. The "New file mode" screen appears.
  2. Press the Right function button to open the settings panel.
  3. To select a save folder: Navigate to "Folder" using the Up/Down buttons and press the Record button. Navigate to your desired folder and press the Record button to confirm. Press the Back button to return to the stop mode screen.
  4. To adjust recording settings: Navigate to your desired setting using the Up/Down buttons and press the Record button to confirm. Press the Back button to return to the stop mode screen.
  5. Press the Record button to start recording. The Record/Status LED illuminates red.
  6. Press the Record button again to stop recording. The recording is saved to the selected folder.

Edit a File

You can edit existing recordings by appending or overwriting parts.

Append:

Add additional recording parts to the end of an existing recording. In stop mode, press the Record button. If the cursor is at the end of the recording, a new part is added. If the cursor is at the beginning, the editing panel opens. Select "Append" and press the Record button.

Overwrite:

Overwrite an existing recording part from any point within the recording. In playback mode, press the Play/Stop button to stop at the desired point. Press the Record button. The editing panel opens. Select "Overwrite" and press the Record button.

TIP: To bypass the editing panel for appending or overwriting, go to Settings (Right function button) > Edit mode and select "Append" or "Overwrite".

5. Playback

Play Back Files

NOTE: The built-in speakers are disabled when headphones are connected.

Start and Stop Playback

  1. In stop mode, use the Previous track or Next track button to navigate to your desired recording. Press the Play/Stop button to start playback. The Record/Play indicator illuminates green. Alternatively, press the File list button and use the Up/Down buttons to navigate to your recording, then press Play/Stop.
  2. Adjust volume using the Up/Down buttons.
  3. Press the Play/Stop button to stop playback. Press it again to resume.

Fast Rewind or Fast Forward

In playback or stop mode, press and hold the Backward or Forward button to jump to a specific part of the recording. Release the button when you reach the desired point.

NOTE: Short presses of the Backward/Forward buttons will jump to the next or previous bookmark if set. Otherwise, they jump to the next or previous file.

Play Back Files from a Selected Folder

  1. In stop mode, press the File list button. All voice recordings are displayed.
  2. Press the Left function button to open the folder panel.
  3. Navigate to your desired folder using the Up/Down buttons and press the Record button to confirm. Only files in the selected folder will be displayed.

Delete Files

  1. In stop mode or playback mode, press the Right function button to open the settings panel.
  2. Navigate to "Delete" using the Up/Down buttons and press the Record button to confirm.

Access settings mode by pressing the Right function button in stop mode, then select "All settings" by pressing the Record button. Navigate between settings using the Up/Down buttons and select a setting by pressing the Record button.

7. Device and Data Management

Transfer Data to the Computer

Connect the device to your computer using the USB cable. Your VoiceTracer will be recognized as a mass storage device. Open Windows Explorer or Mac Finder to access the device. Select, copy, cut, or drag files to your computer.

CAUTION: Do not disconnect the USB cable during file transfer to avoid data loss.
NOTE: The device cannot be operated manually while connected to a computer.

Reset Your Device and Data

Device Reset

If the device experiences software issues (freezing, slow response), you can reset it. Press and hold the reset button with a pointed object. Then, slide and hold the Power switch downwards for three seconds to restart the device.

Reset Data

Formatting the device will delete all data. Back up important data before proceeding. Menu settings will remain after a data reset.

  1. In stop mode, press the Right function button to open the settings panel.
  2. Press the Record button to select "All settings".
  3. Press the Right function button to enter "Device settings".
  4. Navigate to "Format storage" using the Up/Down buttons and press the Record button.
  5. Select "Delete". All data will be deleted from the internal storage.

Reset Settings

Reset menu settings to their default state.

CAUTION: Resetting menu settings will delete all customizations. You will need to adjust all settings again after a reset.
NOTE: Your data will not be deleted and remains available after resetting the menu settings.
  1. In stop mode, press the Right function button to open the settings panel.
  2. Press the Record button to select "All settings".
  3. Press the Right function button to enter "Device settings".
  4. Navigate to "Reset settings" using the Up/Down buttons and press the Record button to confirm.
  5. Select "Reset". All settings will be reset to their default state.

Updating Your Device

Firmware updates correct errors and improve product performance. Check the product website www.voicetracer.com/help for new firmware versions.

Update Your VoiceTracer

  1. Connect the device to your computer via the USB cable. A charging battery icon appears, and the Record/Status LED flashes orange.
  2. Download the firmware update file for your model from www.voicetracer.com/help.
  3. Unzip the downloaded file.
  4. Open Windows Explorer or Mac Finder and double-click the VoiceTracer drive.
  5. Copy the firmware update file to the root directory of the device. The Record/Status LED flashes orange during the process and stops when complete.
  6. Disconnect the device from the computer. The firmware updates automatically, and the "Firmware update" window is displayed. The device will switch off automatically upon completion.
CAUTION: Ensure the device has at least 30% battery power before updating. Do not disconnect the USB cable during file transfer to avoid data loss.
NOTE: Regularly check www.voicetracer.com/help for firmware updates.

8. Troubleshooting

Refer to the table below for common problems and their solutions. If the issue persists, contact your Philips support partner.

Problem Cause Solution
The device doesn't turn on. Battery has run out of power. Charge the device and turn it on again.
I can't record with the device. Maximum file number or device memory is full. Delete files or move them to an external device.
The device doesn't respond. Problem with the software. Turn the device off and restart it. If unresponsive, press the Reset button. Resetting the device does not delete settings or data.
The device doesn't play back recordings. Volume is off or too low. Turn on or turn up the volume.
I can't hear anything from the speakers. Headphones are connected to the device. Unplug the headphones.
I can't hear anything from the headphones. Volume is off or too low. Headphones are not connected properly. Turn on or turn up the volume. Disconnect and reconnect the headphones.
Low audio recording quality or too much background noise. Microphone sensitivity is set too high. Set microphone sensitivity to medium or low. Refer to "Mic sensitivity" on page [11].
