Introduction

MEMOplanner is a digital calendar designed to provide cognitive support in daily life, assisting individuals who require extra support with time, planning, and visual clarity. It offers an easy-to-understand overview of the day, week, and month, aids in orientation, presents time in a simplified manner, and provides clear, personalized reminders.

⚠️ WARNING: This product should not be used as the sole support for medication, medical treatment, or other critical activities.

MEMOplanner is highly customizable to the user's needs and abilities, allowing the use of personal images or pre-loaded ones. Users can select which functions are accessible. The MEMOplanner Go app can be installed on smartphones or tablets for on-the-go planning support when the MEMOplanner device is not available. The myAbilia web service enables support persons to update MEMOplanner remotely. This user manual guides you through the use of MEMOplanner Medium 4. For more detailed information on specific functions, refer to the MEMOplanner Reference Manual.

Intended Purpose

Terminology

This user manual uses the following terminology:

myAbilia and Support

myAbilia

myAbilia is a web service for MEMOplanner and other Abilia products. It allows users to manage their calendar, checklists, and image archive via a web browser on any smartphone, tablet, or computer. It also enables inviting support persons to update MEMOplanner via the internet. A myAbilia user account is required to use MEMOplanner, though direct use of the web service or internet connection on the device is not necessary except for initial login.

Roles in myAbilia

myAbilia has different account types based on purpose, with the User at the center. Users may need help from a Support Person to update MEMOplanner with relevant information. An Administrator may be needed for specific operations; this person manages accounts and licenses without accessing the user's personal information.

RoleDescriptionFunctions
UserThe person using the aid. Does not actively need to use the myAbilia web service but must have an account linked to the aid.Calendar, activity templates, timer templates, image archive, checklists, profile, licenses, support persons, and administrators.

Customize myAbilia

On the "My profile" page, under the "Modules" tab, you can choose which modules to display in myAbilia. If the same myAbilia account is used on different devices (e.g., MEMOplanner and Handi), you can select which calendar to view. Navigation: www.myabilia.com | My profile | Modules.

Share myAbilia Calendar

By creating an ICS subscription link for the myAbilia calendar, it can be displayed in other calendar programs like Outlook and Google. Instructions are available on myAbilia.

Support

Abilia provides support for MEMOplanner Medium 4, the myAbilia web service, and the MEMOplanner Go app. For support, refer to the Contact Information on the last page of this document.

MEMOplanner License

MEMOplanner Medium 4 has a license granting access to the myAbilia web service and the MEMOplanner Go app. Upon logging into MEMOplanner Medium 4, the license is linked to the user account. When the license expires, MEMOplanner Medium 4 will become "offline," meaning it will not synchronize with myAbilia, and user data cannot be recovered. Warnings are provided well in advance of license expiration (3 months, 3 weeks, 3 days). Support persons and administrators linked to the user receive an email reminder about the expiring license. License renewal can be ordered from Abilia by providing the license key, found in the reminder email or within MEMOplanner (see Chapter 9). When Abilia renews the license and the device has an internet connection, the license period is updated in MEMOplanner.

Check Contents

MEMOplanner is delivered with the following items:

Connect Power Adapter

Follow these steps to connect the power adapter:

  1. Connect the power cable to the power plug.
  2. Connect the power plug to the socket on the power adapter (3).
  3. Connect the power adapter to a wall outlet.

You can press the Power button (2) to view the charging status on the screen.

Start Device

  1. Start the device by pressing the Power button (2) until the screen flashes.
  2. Wait a moment for the device to start. A "Welcome" window will appear, followed by the first page of a configuration wizard.

Configuring the Device

Upon startup, a configuration wizard will guide you through device settings.

Connect to Internet

An internet connection is required for initial login. Later, the device does not need an internet connection unless external assistance is required. Select the wireless network (Wi-Fi) to connect to. If Wi-Fi is unavailable, a temporary hotspot can be created on a mobile phone.

Select Text-to-Speech Voices to Install

Choose whether to install one or more text-to-speech voices. Voices can be downloaded later (see 6.3.4 Speech Support). If you choose to download voices during setup, you do not need to wait for the download to complete; you can proceed with the startup process.

Log In / Create User Account

Enter your myAbilia username and password, then click "Log In". You can also create a new user account (see 2.2 Create myAbilia Account via MEMOplanner).

Add Initial Setup

If the user account is new, you can add an initial setup including an image archive, activity templates, timer templates, and checklists.

Image Archive

Approximately 300 images are included in the initial setup. The image archive can be customized via myAbilia. You can add your own images or more images from the myAbilia image archive.

Activity Templates

Activity templates are pre-defined activities that make it easier and faster to add new activities. An activity template can include a name, image, checklist, and reminder. The initial setup includes a few example activity templates, which can be modified later in MEMOplanner or via myAbilia.

Timer Templates

Timer templates are pre-defined timers that simplify starting a timer. A timer template has a duration, name, and an optional image. The initial setup includes a few example timer templates, which can be modified later in MEMOplanner or via myAbilia.

Checklists

A checklist can be linked to an activity, useful for breaking down tasks (e.g., morning routines). Checklists can be created directly within an activity or selected from your checklist library. The initial setup includes example checklists. The checklist library can be managed via myAbilia at any time.

Getting Started with MEMOplanner

Here are some things to remember when starting with MEMOplanner.

Determine Placement

MEMOplanner should be placed where the user can benefit most from it.

If the device is always in a fixed location and connected to power, it is recommended to set the screen to always be on (see 6.4 Screen Timeout).

Mount Wall Bracket

⚠️ WARNING: Mount MEMOplanner correctly. Improper mounting can cause personal injury or damage to the device.

MEMOplanner can be mounted on a wall using the included wall bracket. Mount the bracket with a screw suitable for the device's base. MEMOplanner must be mounted and used in portrait mode.

How to mount the wall bracket:

  1. Hold MEMOplanner with the first bracket attachment in the desired position.
  2. Remove MEMOplanner, but keep the wall bracket in place. Mark the hole.
  3. Screw on the wall bracket.
  4. Place MEMOplanner into the first wall bracket and attach the second bracket.
  5. Remove MEMOplanner and mark the hole. Then screw the second wall bracket onto the wall.

Mount Table Stand

  1. Angle the holes on the table stand upwards.
  2. Choose the desired tilt for MEMOplanner by selecting a pair of holes. Push the arch down into the selected hole pair. ℹ️ NOTE: Ensure the arch is pushed down to the bottom for stability.
  3. Tilt MEMOplanner towards the stand.

Determine Need for Extra Speakers

It is crucial that alarms from MEMOplanner are always heard clearly. Depending on the device's placement, external speakers may be necessary (see 6.3.6 External Speakers).

Prepare for Remote Assistance (myAbilia)

Remote assistance allows a support person to update MEMOplanner remotely, such as adding activities or customizing the image archive. A support person can log into the myAbilia web service from their smartphone, tablet, or computer at any time to make desired changes. For MEMOplanner to access these changes, the device must be connected to the internet. To add support persons to your user account:

  1. Start a web browser on any smartphone, tablet, or computer. Log in with your user account at www.myabilia.com.
  2. Click the gear icon tab and select the "Support Persons" function.
  3. Click "Invite Support Person".
  4. Enter the email address of the desired support person. Click "Invite".
  5. myAbilia will send an email to the support person.

Read more about myAbilia in Chapter 1.4 myAbilia.

Customizing Initial Setup (myAbilia)

During the initial setup of MEMOplanner, you can choose to add an initial setup (see 4.6 Add Initial Setup). Much of the initial setup content is exemplary and needs to be customized for the user via myAbilia.

Procedure to customize the initial setup:

  1. Start a web browser on any smartphone, tablet, or computer. Log in with your user account at www.myabilia.com.
  2. Click the Image Archive icon to customize the image archive.
  3. Click the "Standard Activities" icon to customize activity templates.
  4. Click the "Standard Timers" icon to customize timer templates.
  5. Click the Checklist icon to customize checklists that need to be linked to activities in MEMOplanner.

Create MEMOplanner Settings

MEMOplanner can be highly customized to the user's needs and abilities. All settings are made via the settings menu. Navigation path: Menu | Settings.

Here are some examples of what the user should consider when configuring MEMOplanner:

The MEMOplanner Reference Manual describes how to set various options.

Determine if Settings Menu Should Be Accessible

In some cases, it may be appropriate to prevent the user from accessing the Settings menu. This can be done in several ways:

  1. Hide the Settings icon in the Menu: Go to Menu Settings and disable Settings. Settings can then only be accessed by pressing Left – Right – Left under the category symbols in the day calendar. If categories are hidden, press the corresponding surface. Navigation path: Menu | Settings | Menu.
  2. Password-protect the settings menu: Go to Password Protection, enable it, and choose a four-digit code. Navigation path: Menu | Settings | System | Password Protection.

Mobile Support with MEMOplanner Go

As a supplement to MEMOplanner Medium 4, users can also get mobile support with the MEMOplanner Go app on their own phone or tablet. See Chapter 12 Install MEMOplanner Go.

Handling the Device

⚠️ CAUTION: Do not use sharp objects on the product.

Turn Device On and Off

The screen of MEMOplanner Medium 4 turns on and off by pressing the Power button. If the device is not used for 30 minutes, the screen automatically turns off (this time can be changed, see 6.4 Screen Timeout). When the device is in standby mode, it automatically activates upon an alarm. To turn off the device completely, press and hold the Power button (2) until a menu appears. Then, press the power off symbol (⏻).

ℹ️ NOTE: If MEMOplanner is turned off completely, no alarms will sound.

To start MEMOplanner again, press the Power button until the screen flashes. This performs a restart.

Charging and Battery Handling

⚠️ WARNING: Do not charge a battery if the device is damaged or has visible damage, such as an open casing or a skewed unit.

⚠️ CAUTION: To charge the battery, use only the original power adapter supplied with the product.

How to connect the power adapter:

  1. Connect the power cable to the power plug.
  2. Connect the power plug to the socket on the power adapter (3).
  3. Connect the power adapter to a wall outlet.

Battery status is shown in the Quick Settings function (see Chapter 7 Quick Settings).

Longer Storage

If you plan to store MEMOplanner for longer than 1 month, it should be fully charged and powered off correctly to prevent deep discharge of the battery. Refer to Chapter 6.1 Turn Device On and Off for powering off instructions. It is recommended to fully charge the device every three months.

Sound

Volume

Volume is adjusted via the Quick Settings function (see Chapter 7 Quick Settings).

Volume Button

When listening to an alarm or speech, the playback volume can be adjusted by pressing the Volume button (1).

Alarm Settings

Via Alarm Settings, alarms can be configured for different types of activities, reminders, and timers. It is also possible to set how long an alarm should sound before any spoken messages are played.

Navigation path: Menu | Settings | Calendar | Alarm Settings

The following alarm settings can be configured:

Speech Support

Speech support settings are made via System Settings. From here, you can also download text-to-speech voices.

Navigation path: Menu | Settings | System | Speech Synthesis

Click Sound

Via Quick Settings, you can choose whether to hear a click sound as confirmation when pressing buttons, etc. (see Chapter 7 Quick Settings). Navigation path: Menu | Quick Settings.

External Speakers

It is crucial that alarms from MEMOplanner are always heard clearly. Depending on the device's placement, external speakers may be necessary.

Choose one of the following:

Screen Timeout

When the device's battery is low, the screen timeout determines when the screen turns off automatically when not in use. Screen timeout is set via Quick Settings (see Chapter 7 Quick Settings). Navigation path: Menu | Quick Settings.

Screensaver

You can choose whether to use a screensaver. When a screensaver is selected, time and date are displayed against a dark background after 1, 5, or 10 minutes. The screensaver is temporarily removed each time you touch the screen. The screensaver can be set to activate only at night.

Navigation path: Menu | Settings | Functions | Timeout | Activate Screensaver.

Screen Brightness

Screen brightness can be adjusted via Quick Settings. Brightness dims automatically at night. Navigation path: Menu | Quick Settings.

Screen Lock

It is strongly recommended not to use a screen lock, as it can make accessing and using MEMOplanner difficult. ℹ️ NOTE: If you enable the screen lock and forget the password, Abilia Support cannot resolve the issue, and the device must be reset to factory settings.

Internet Connection

You can connect to wireless networks and check the connection status via Quick Settings. Navigation path: Menu | Quick Settings.

Bluetooth (?)

To connect a Bluetooth speaker (or headset), you must activate Bluetooth. Navigation path: Menu | Settings | System | Android Settings | Connected Devices | Connection Settings | Bluetooth.

  1. Put the Bluetooth speaker into "pairing mode" (refer to the speaker's user manual). Discovered devices will appear in a list.
  2. Tap the name of the device you want to connect to; the device and speaker will then be connected.

The speaker will now function with MEMOplanner, for example, for alarms. The next time you turn on the speaker and activate Bluetooth, the devices will find each other automatically. When using Bluetooth speakers, it may be necessary to mute the device's sound to avoid echo during playback. ℹ️ NOTE: Bluetooth increases the device's power consumption.

Date and Time

Date, time, and time zone can be set in Android settings. Navigation path: Menu | Settings | System | Android Settings | System | Date and Time. It is recommended to use the "Automatic date and time" setting, as date, time, and time zone information are automatically retrieved via the network. This ensures the clock always shows the correct time, and daylight saving time is always active. "Automatic date and time" is usually set by default. If it does not work correctly, you must set the date and time manually. ℹ️ NOTE: The time zone for Norway must be GMT+1:00 Central European Time.

Language (?)

It is possible to change the device language. Navigation path: Menu | Settings | System | Android Settings | System | Language and Input.

To set the language:

  1. Under "Language", select "Add a language" and then the desired language.
  2. Drag and drop the new language to place it at the top of the list.

MEMOplanner supports the following languages: Swedish, Norwegian, Danish, Finnish, English, German, and Dutch. ℹ️ NOTE: If a language not supported is selected, MEMOplanner will default to English.

Camera (?)

The built-in camera allows you to take your own photos, which can be used to symbolize different activities or to take pictures of people. Navigation path: Menu | Camera.

When you start the Camera, the viewfinder appears. It can be held in portrait or landscape mode.

When a photo is taken, two options are shown:

ℹ️ NOTE: Depending on the function the camera is used for, the image is saved in different folders in the Image Archive. - Add activity or timer → Image saved in Mobile Images. - Camera function → Image saved in My Images.
