1. Introduction

The Poly CCX 400 is an entry-level desktop business media phone designed for clear and efficient communication. Featuring a 5-inch color touchscreen and Poly HD Voice technology, it provides a user-friendly experience with robust audio quality. This manual provides instructions for setting up, operating, maintaining, and troubleshooting your Poly CCX 400 phone.

2. What's in the Box

Verify that all items are present in your product packaging:

3. Setup

3.1. Physical Connections

Follow these steps to connect your Poly CCX 400 phone:

  1. Attach the Handset Cord: Connect one end of the coiled handset cord to the handset and the other end to the handset port on the back of the phone.
  2. Connect to Network (PoE): The Poly CCX 400 supports Power Over Ethernet (PoE). Connect one end of the Ethernet cable to the LAN port on the back of the phone and the other end to a PoE-enabled network switch or injector. This connection provides both network access and power to the phone.
  3. (Optional) Connect a Headset: If using a compatible Poly headset, connect it to the USB-A port or RJ9 headset port on the phone.

3.2. Initial Boot-Up

Once connected to a PoE network, the phone will automatically power on and begin its boot sequence. This process may take a few minutes. The phone will display the Poly logo, followed by a loading screen, and then the main user interface.

4. Operating Instructions

4.1. Touchscreen Navigation

The Poly CCX 400 features an intuitive 5-inch color touchscreen. Navigate through menus and options by tapping icons and swiping. The main screen typically displays call options, contacts, messages, and settings.

4.2. Making a Call

  1. Tap the Place a Call icon on the touchscreen.
  2. Enter the desired phone number using the on-screen keypad.
  3. Tap the Call button to initiate the call.

4.3. Answering a Call

When an incoming call is received, the phone will ring and display the caller ID on the screen. To answer:

  • Tap the Answer icon on the touchscreen.
  • Alternatively, lift the handset to answer the call.

4.4. Adjusting Volume

Use the physical volume buttons located on the side of the phone to adjust the handset, speakerphone, or headset volume during a call. The volume can also be adjusted via the touchscreen during an active call.

4.5. Using with Zoom/Teams

The Poly CCX 400 is designed to work seamlessly with popular communication platforms like Zoom and Microsoft Teams. Configuration for these platforms is typically managed by your IT administrator. Once configured, dedicated icons or menus for these applications may appear on your touchscreen for direct access to their features.

5. Maintenance

5.1. Cleaning the Phone

To maintain the phone's appearance and functionality:

  • Use a soft, lint-free cloth slightly dampened with water to clean the screen and exterior surfaces.
  • Avoid using abrasive cleaners, solvents, or aerosol sprays, as these can damage the phone's finish and internal components.
  • Ensure the phone is powered off before cleaning.

5.2. Software Updates

Software updates are periodically released to improve performance, add features, and address security concerns. These updates are typically managed by your IT department or service provider. Do not attempt to manually update the phone's firmware unless instructed by official support.

6. Troubleshooting

This section addresses common issues you might encounter with your Poly CCX 400 phone.

6.1. Phone Does Not Power On

  • Check PoE Connection: Ensure the Ethernet cable is securely connected to the LAN port on the phone and to a PoE-enabled network switch or injector. Verify that the PoE source is active.
  • Verify Cable Integrity: Inspect the Ethernet cable for any damage. Try using a different, known-good Ethernet cable.
  • Power Adapter (if applicable): If your setup uses an optional AC power adapter (not included with PoE models), ensure it is correctly connected and plugged into a working power outlet.

6.2. No Dial Tone or Cannot Make/Receive Calls

  • Network Connection: Confirm the phone has a stable network connection. Check the network cable and the status of your network.
  • Handset Connection: Ensure the handset cord is securely plugged into both the handset and the phone's handset port.
  • Service Provisioning: Verify with your IT administrator or service provider that your phone is properly provisioned and registered on the network.
  • Restart Phone: Disconnect and reconnect the Ethernet cable (or power adapter) to restart the phone.

6.3. Poor Audio Quality

  • Volume Adjustment: Adjust the volume using the physical buttons or touchscreen during a call.
  • Network Congestion: Poor network conditions can affect call quality. Consult your network administrator.
  • Environmental Noise: While the phone features Acoustic Fence technology, excessive background noise can still impact clarity.

6.4. Touchscreen Unresponsive

  • Restart Phone: Perform a power cycle by disconnecting and reconnecting the power source.
  • Clean Screen: Ensure the screen is clean and free of debris or moisture.
