3. Physical Overview
Familiarize yourself with the components of your GXP2140 IP Phone.

4. Setup
Follow these steps to set up your Grandstream GXP2140 IP Phone.
- Attach the Phone Stand: Align the stand with the slots on the back of the phone unit and slide it into place until it clicks securely.
- Connect the Handset: Plug one end of the coiled cord into the handset port on the phone unit and the other end into the handset.
- Connect to Network: Plug one end of the Ethernet cable into the LAN port on the back of the phone and the other end into an active network port (e.g., a switch or router). If your network supports Power over Ethernet (PoE), the phone will power on automatically.
- Connect Power (if not using PoE): If PoE is not available, connect the power adapter to the power port on the phone and then plug the adapter into a power outlet.
- Initial Boot-up: The phone will power on and begin the boot-up sequence. The LCD screen will display the Grandstream logo and then show network status and line information.
5. Basic Operation
This section covers the fundamental functions of your GXP2140 IP Phone.
5.1 Making a Call
- Off-hook Dialing: Pick up the handset, press the Speakerphone button, or press an available Line key. Dial the number and press the Send/Redial button or wait a few seconds for automatic dialing.
- On-hook Dialing: Dial the number first, then pick up the handset, press the Speakerphone button, or press an available Line key.
5.2 Answering a Call
- When the phone rings, pick up the handset, or press the Speakerphone button, or press the flashing Line key.
5.3 Holding a Call
- During an active call, press the Hold button. The line key will flash.
- To resume the call, press the flashing Line key again.
5.4 Transferring a Call
- Blind Transfer: During an active call, press the Transfer button, dial the transfer destination number, and press the Transfer button again.
- Attended Transfer: During an active call, press an available Line key to get a new dial tone. Dial the transfer destination number. Once the second party answers, press the Transfer button and then the flashing Line key of the original call.
5.5 Using Speakerphone and Mute
- Press the Speakerphone button to toggle speakerphone mode on/off.
- Press the Mute button to mute or unmute your microphone during a call. The Mute LED will illuminate when active.
5.6 Adjusting Volume
- During a call, press the Volume +/- buttons to adjust the handset, headset, or speakerphone volume.
- When idle, press the Volume +/- buttons to adjust the ringer volume.
6. Advanced Features
The Grandstream GXP2140 offers several advanced features to enhance your communication experience.
- Multiple Lines: The GXP2140 supports up to 4 line appearances, allowing you to manage multiple calls simultaneously.
- HD Audio: Experience superior voice clarity with HD audio support.
- Conference Calls: Initiate a 5-way audio conference by pressing the Conference button during an active call.
- XML Applications: The phone supports custom XML applications for enhanced functionality and integration with business tools.
- Electronic Hook Switch (EHS) Support: For Plantronics headsets, enabling remote call control.
7. Maintenance
Proper care and maintenance will extend the life of your IP phone.
- Cleaning: Use a soft, dry cloth to clean the phone's surface. For stubborn marks, a slightly damp cloth with mild soap can be used, ensuring no liquid enters openings. Do not use harsh chemicals or abrasive cleaners.
- Environment: Keep the phone in a dry environment, away from direct sunlight, excessive heat, and moisture.
- Cable Management: Ensure all cables are securely connected and not under strain. Avoid bending cables sharply.
8. Troubleshooting
This section addresses common issues you might encounter with your GXP2140 IP Phone.
- No Power:
- Check if the power adapter is securely connected to both the phone and the power outlet.
- If using PoE, ensure the Ethernet cable is connected to a PoE-enabled port and the network switch is providing power.
- Try a different power outlet or power adapter if available.
- No Dial Tone:
- Verify the Ethernet cable is properly connected to the LAN port and the network.
- Check the network status on the LCD screen. If it shows no network, contact your network administrator.
- Ensure your SIP account is registered and active (indicated by a solid green line key LED).
- Cannot Make/Receive Calls:
- Confirm the phone has a dial tone and is registered.
- Check if the phone's IP address is valid and can reach the SIP server.
- Verify that the phone number being dialed is correct.
- Display Issues:
- If the screen is blank, refer to the "No Power" section.
- If the display is frozen, try restarting the phone by unplugging and re-plugging the power.
