Introduction
This manual provides instructions for the setup, operation, and maintenance of your Avaya 1408 Digital Deskphone. Please read this manual thoroughly before using the device to ensure proper functionality and to maximize your user experience.
Setup
1. Unpacking the Phone
Carefully remove all components from the packaging. Ensure the following items are present:
- Avaya 1408 Digital Deskphone unit
- Handset
- Handset cord
- Ethernet cable
- Desk stand

2. Assembling the Desk Stand
Attach the desk stand to the back of the phone unit. Ensure it clicks securely into place. The stand allows for adjustable viewing angles.
3. Connecting the Handset
Connect one end of the coiled handset cord to the handset and the other end to the port labeled with a handset icon on the side of the phone base.
4. Connecting to the Network and Power
The Avaya 1408 Digital Deskphone supports Power over Ethernet (PoE). If your network switch provides PoE, connect one end of the Ethernet cable to the LAN port on the back of the phone and the other end to a PoE-enabled network port. The phone will power on automatically.
If PoE is not available, an external power supply (not included) is required. Connect the Ethernet cable to the LAN port and the external power supply to the power port on the phone, then plug the power supply into a wall outlet.

Operating Instructions
Making a Call
- Lift the handset or press the Speaker button.
- Dial the desired number using the keypad.
- Press the Call or Dial softkey (if available on screen) or wait for the call to connect automatically.
Answering a Call
- When the phone rings, lift the handset or press the Speaker button to answer in speakerphone mode.
- Alternatively, press the flashing line button associated with the incoming call.
Ending a Call
- Place the handset back in the cradle.
- If using speakerphone, press the Speaker button again or the End Call softkey.
Volume Control
Use the Volume buttons (up/down arrows) on the phone to adjust the handset, speakerphone, or ringer volume during a call or when idle.
Mute Function
Press the Mute button to mute your microphone during a call. Press it again to unmute.
Hold Function
During an active call, press the Hold button to place the call on hold. Press the flashing line button or the Hold button again to retrieve the call.
Conference Calls (3-Way)
- While on an active call, press the Conference button (or a softkey labeled Conf). The first call will be placed on hold.
- Dial the number of the second party.
- Once the second party answers, press the Conference button again to join all three parties.
Caller ID
The phone's display will show the incoming caller's number and name (if available) for incoming calls.
Multiline Operation
The Avaya 1408 supports multiline operation, allowing you to manage multiple calls simultaneously using the dedicated line buttons on the phone.
Digital Answering System / Voicemail
The phone features a digital answering system with a recording capacity of up to 18 minutes. Access voicemail by pressing the Message button or following your system administrator's instructions.
Maintenance
Cleaning the Phone
- Disconnect the phone from its power source before cleaning.
- Use a soft, damp cloth to wipe the phone's surface.
- Do not use abrasive cleaners, solvents, or strong chemicals, as these can damage the plastic material.
- Avoid spraying liquids directly onto the phone.
General Care
- Keep the phone away from excessive heat, direct sunlight, and moisture.
- Avoid dropping the phone or subjecting it to strong impacts.
- Ensure proper ventilation around the device.
Troubleshooting
No Dial Tone / Phone Not Powering On
- Check Power: Ensure the Ethernet cable is securely connected to a PoE-enabled port or that the external power adapter (if used) is properly connected and plugged into a working outlet.
- Cable Connection: Verify that all cables (handset, Ethernet) are firmly plugged into their respective ports.
- Network Status: Confirm that your network connection is active and functioning.
Cannot Hear or Be Heard During a Call
- Volume Adjustment: Adjust the volume using the Volume buttons.
- Mute Function: Check if the Mute button is active (often indicated by an LED). Press it to unmute.
- Handset Connection: Ensure the handset cord is securely connected to both the handset and the phone base.
- Speakerphone Mode: If using speakerphone, ensure the Speaker button is illuminated.
Display Issues
- Power Cycle: Disconnect and reconnect the power to the phone.
- Contrast: Some models may have display contrast settings in the menu. Consult your system administrator if issues persist.
